About the Role
This is a standalone, Luxembourg-based position reporting directly to the Group Finance team in Finland. As the sole finance professional on-site, you will take full ownership of the local accounting cycle, Lux GAAP compliance, and daily corporate administration.
This role is ideally suited for a fully autonomous, hands-on professional who is fluent in French and completely comfortable handling routine local compliance, statutory filings, and direct interactions with Luxembourg authorities independently.
Core Responsibilities
Bookkeeping and Financial Accounting: Maintain accurate and timely Luxembourg statutory bookkeeping in accordance with Lux GAAP. Process accounts payable and accounts receivable, bank entries, accruals, and monthly reconciliations. Prepare monthly and annual financial statements for review by Group Finance. Maintain accounting records, supporting documents, and audit trails locally in Luxembourg.
Tax and Regulatory Filings: Prepare and submit VAT returns, corporate income tax declarations, and other statutory filings in Luxembourg. Coordinate with external tax advisors when needed. Ensure full compliance with Luxembourg accounting, tax, and regulatory requirements. Support transfer pricing documentation and intercompany processes.
Cash and Treasury Management: Manage local bank accounts, payments, and cash forecasting. Monitor liquidity and ensure timely settlement of obligations. Support treasury processes related to group funding and capital flows.
Treaty Substance and Corporate Administration: Ensure that Nova Luxembourg entities meet Luxembourg treaty substance requirements. Maintain accounting records and corporate documentation locally. Support board meeting preparations and documentation. Coordinate with local directors, auditors, and service providers. Act as the local point of contact for authorities, banks, and auditors.
Office and HR Administration Support: Manage day-to-day office administration, including vendor coordination, mail sorting, scanning, and local facility management. Support routine HR administrative tasks, such as maintaining local employee records and acting as the local point of contact for our external payroll provider.
Collaboration and Reporting: Work closely with the Group Finance team on monthly closing, reporting, and consolidation. Provide financial data, schedules, and explanations as required. Support internal controls and process improvements.
Requirements
Education: Bachelor’s degree or above in Accounting, Finance, Business Administration, or related fields.
Experience: 2 to 5 years of experience in Luxembourg accounting, bookkeeping, or financial administration. Experience within a Trust, Corporate Services Provider, or standalone corporate environment is highly advantageous.
Professional Skills: Strong knowledge of Lux GAAP, VAT, and corporate tax processes. Experience with statutory filings and direct interaction with Luxembourg authorities (ACD, AED, etc.). Good understanding of treasury and cash management processes. Proficiency in accounting software and MS Excel.
Languages: Fluent French is mandatory (as filing systems and local authorities operate in French). Good English is required as the working language with Group Finance. Mandarin, German, or Luxembourgish is an advantage but not required.
Core Competencies: Reliable, detail-oriented, and able to work independently in a standalone setup. Strong sense of responsibility, hands-on ownership, and professional communication skills.
