About the Role

We are looking for an organized and reliable Document Controller for a site-based, fixed-term position (12–18 months). Working alongside the QA/QC Manager and site engineers, you will manage the flow of technical information and maintain strict version control across all drawings, reports, and certificates. This is a practical, essential role focused on supporting technical coordination among contractors and consultants, ensuring that all project records remain complete, structured, and easily accessible throughout the construction lifecycle.

What You’ll Be Doing With Us

• Document Lifecycle Management: Manage the intake, review, distribution, and archiving of all project documents, including drawings, specifications, RFIs, and change orders.

• Database Administration: Maintain the project’s document management system (CDE), ensuring accurate filing and version control for both electronic and physical records.

• Quality & Consistency Checks: Review incoming documents to ensure they meet project naming conventions, standards, and Finnish regulatory formats.

• Controlled Distribution: Coordinate the timely release of information to internal teams and contractors, ensuring everyone is working from the latest approved revisions.

• Records & Auditing: Maintain accurate transmittal logs and conduct regular audits to ensure no documentation is missing or outdated.

• Handover Support: Assist in collating the final Operations & Maintenance (O&M) manuals and "As-Built" packages to ensure a smooth transition at the end of the project.

• Team Coordination: Act as the point of contact for contractors and consultants regarding document status and submission deadlines.

Qualifications & Experience

• Project Experience: 3–5 years of experience in document control, ideally within the construction, energy, or industrial sectors.

• Technical Literacy: A basic understanding of construction documents (drawings, specs, etc.) and their role in a large-scale project.

• Software Skills: Proficiency in document management tools (e.g., Aconex, Procore, SharePoint, or BIM 360) and Microsoft Office.

• Detail-Oriented: A methodical approach to work, with a focus on accuracy and consistency in managing large volumes of data.

• Communication: Strong verbal and written communication skills in English. Proficiency in Finnish is a significant advantage for handling local compliance records.

• Reliability: The ability to work independently and manage multiple tasks while maintaining high standards of confidentiality.
